Privacy Policy

How we collect, use and protect your personal information when you use our website or contact us.

Last updated: 15 October 2026

In short

We collect only what we need to answer your enquiries. We do not sell your information. Please do not send detailed medical history through the website form. Share it with us in person or by phone instead.

1. Who we are

This policy applies to the website of Wayhira So Herbal Hospital, also known as Wahyiraso Herbal Hospital, located at KQ95 Slasher Street, GS-0474-5398, Kasoa, Central Region, Ghana. In this policy, "we", "us" and "our" mean Wayhira So Herbal Hospital. We are responsible for the personal information described here.

We handle personal information in line with the Data Protection Act, 2012 (Act 843) of Ghana.

2. Information we collect

Information you give us

  • Contact form: your name, phone number, email address (optional), the type of enquiry and your message.
  • Calls, WhatsApp and email: your phone number or email address and whatever you choose to tell us.
  • Visits to our hospital: personal and health information you share with our team during a consultation. We treat this as confidential.

Information collected automatically

Like most websites, our web host may keep standard server records such as your IP address, browser type and the pages you opened. We use this only to keep the website running and secure. We do not run advertising or tracking tools on this website at the time of writing.

Chat assistant

Our website has a simple chat assistant that answers common questions. It runs in your browser and does not save your messages. If you choose to continue on WhatsApp, the question you typed is added to the WhatsApp message, which is then handled by WhatsApp and our team.

3. Health information

Health information is sensitive. To protect your privacy, please do not put detailed medical history, test results or photos in the website contact form. Tell us briefly what you need help with, and share the details during a phone call or at your consultation.

4. How we use your information

  • To reply to your messages and answer your questions.
  • To arrange consultations and give you guidance about our services.
  • To keep records of enquiries and the care we provide.
  • To keep our website safe and working properly.
  • To meet our legal obligations.

We do not sell your personal information, and we do not use it to send marketing messages unless you ask us to.

5. Why we are allowed to use it

We use your information when you have agreed (for example, by sending us a message), when it is needed to respond to your request or provide a service, when we have a legitimate reason that does not override your rights, or when the law requires it.

6. Who we share it with

We share information only where it is needed to run our website and respond to you:

  • Form service provider: messages sent through our contact form pass through a third-party form service (currently Formspree) that delivers them to our email inbox.
  • Google: our pages use Google Maps and Google Fonts. Your browser connects to Google when these load.
  • WhatsApp: if you choose to message us on WhatsApp, your message is handled by WhatsApp under its own terms.
  • Website hosting provider: which stores and delivers the website.
  • Authorities: if the law requires us to disclose information.

These providers only receive what they need to do their job.

8. Cookies

We do not set advertising or tracking cookies of our own. The embedded Google Map may set cookies or similar technology. You can block or delete cookies in your browser settings, although the map may then not display. If we start using cookies or analytics tools, we will update this policy.

9. Sending information outside Ghana

Some of the services named above store or process information on servers outside Ghana. When this happens, we take reasonable steps to make sure your information is handled with appropriate care.

10. How long we keep it

We keep enquiries and records only for as long as we need them to respond to you, to provide care and keep proper records, or to meet legal requirements. When we no longer need information, we delete it or make it anonymous.

11. Keeping it safe

We take reasonable steps to protect personal information from loss, misuse and unauthorised access. No method of sending information over the internet is completely secure, so we cannot guarantee absolute security.

12. Your rights

Under the Data Protection Act, 2012 (Act 843), you may ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct information that is wrong or incomplete;
  • delete information we no longer need;
  • stop using your information for direct marketing or object to how we use it;
  • withdraw your consent where we rely on it.

To use any of these rights, contact us using the details below. If you are not satisfied with our response, you may complain to the Data Protection Commission of Ghana.

13. Children

Our website is not aimed at children. If a child needs care, we ask that a parent or guardian contacts us and provides the information on the child's behalf.

14. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last changed. Please check it occasionally.
